Job Description


Reports to a SVP who is not a direct report to CEO. Provides secretarial services for an executive in the organization. Performs advanced, confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. Prepares/composes correspondence memoranda, reports, etc. Screens telephone calls and visitors, and resolves routine and some complex inquiries. Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements. Prepares and distributes minutes of meetings. May utilize the assistance of one or more lower level secretaries on a project basis. Operates a personal computer and appropriate software packages or its equivalent.


What will you achieve?

  • Provide daily administrative support to include calendar management, composing communication, file maintenance and additional office management duties
  • Uphold high level of confidentiality while interacting and corresponding with team members and executives
  • Prioritize daily and future tasks to meet deadlines utilizing strong organizational and influential skills, follow-through and proactiveness
  • Arrange domestic and international travel plans and schedules
  • Draft professional, clear and thoughtful company-wide communication
  • Prepare, manage and submit expense reports in a timely manner
  • Assist in meeting preparation and manage large meetings and events
  • Create and maintain ad hoc reports as needed
  • Attend companywide Executive Assistant meetings and ensure that pertinent information is cascaded to team
  • Perform other duties as assigned

Job Requirements


Must Have Skills:

  • 5+ years as an admin or relative experience
  • Relationship expert at all levels
  • Expert level written and verbal communication skills
  • Able to work on-site at Southlake HDQ 5 days per week
  • Tactful and discreet
  • Independent self-starter who proactively problem solves and makes decisions
  • Adaptable to various, competing demands
  • Passion for giving an exceptional internal and external customer experience
  • Proven success with achieving performance goals and meeting deadlines in a fast-paced global environment
  • Managerial courage/assertiveness to effectively manage and prioritize schedules
  • Proficient in MS Office suite of products with advanced PowerPoint proficiency


Nice to Have Skills:

  • Associate’s or Bachelor’s degree preferred
  • Proficient experience booking international travel
