Job Description

Sabre is seeking an Executive Assistant to report to 3 VP’s in Travel Network Product Management.  This person will serve as the point of contact for internal and external customers on all matters pertaining to the VP’s Travel Network Product Management Organization.

Executive Support Duties & Responsibilities

  • Administers tasks for the VP’s of Travel Network Product Management including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and researching and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the schedule is up to date at all times and contains a high level of detail. Assist the VP’s with the execution of the calendar, while in the office or traveling.
  • Serves as "gatekeeper" and "gateway" both internally and externally to make VP’s available as appropriate
  • Can quickly learn the names of global leadership team members and the Sabre organization to prioritize scheduling and response / actions
  •  Ensures that the VP’s are ready for all upcoming meetings or calls, researches unknown Companies and individuals, prepares pre-reads and other meeting documents, ensures this is present at meetings or calls on time and transitions to subsequent meetings as required.
  • Ensures that planned meetings are executed flawlessly, including required Internet access, Webcasts, Conference Callings and meeting documents.
  • Communicates directly, and on behalf of the VP’s, with their direct reports, senior management, vendors and partners, internal and external constituents, and others, on matters related to their responsibilities.
  • Provides a bridge for smooth communication between the VP’s and internal departments globally (requires working seamlessly to support various time zones globally).
  • Works closely and effectively with the VP’s to keep him well informed of upcoming meetings / calls, events, commitments, deadlines and responsibilities, following up appropriately. Maintains the VP’s “To Do” lists to ensure compliance.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Performs other duties as assigned.
Job Requirements

EXPERIENCE

  • Experience as a personal or administrative assistant, preferably in a C-Suite environment.
  • Must possess organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail    
  • Proven interpersonal skills, emotional maturity and the ability to build relationships with stakeholders, including staff, direct reports,  and external partners.
  • Expert level written and verbal communication skills.
  • Ability to work independently and take a proactive approach to problem-solving with strong decision-making capability.
  • Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Ability to achieve performance goals and meet deadlines in a fast paced global environment. Must be able to maintain a realistic balance among competing priorities.
  • Ability to assess opportunities and propose solutions.
  • Proficient in MS Office suite of products
  • Must possess the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills.
  • Must be able to work independently on projects, from conception to completion, and work under pressure to handle a wide variety of activities and confidential matters with discretion.
